Using the Reporting tool

The Reporting tool provides a useful interface through which you can create reports detailing system activity. Use the reporting tool to select a wide variety of data to report on and to shape reports with through the use of filters and other parameters.

The data upon which you can report is contained in Data sets. Data sets are predefined categories of data; for example, Users or Org Units. Once you have chosen a data set to report on, you can then select a Render Type, which is the format that the report displays in; for example, a bar graph or a table. You can then narrow down your report by adding custom filters. Filters constrain the information to only show you specified and relevant results as you require them.

It is important to note that the Reporting tool accesses the Data Warehouse and not the Production Database. The contents of the Production Database are migrated to the Data Warehouse at intervals previously defined for your site; for example, every 24 hours. The Reporting tool uses the Data Warehouse to generate its reports; thus, it does not affect the real time Production Database or system performance.

If Reporting is not visible in the Admin Tools menu, select Organization tools and ensure that Reporting is toggled On.

NOTE: Reports generated for the current or previous day’s data will only be as current as the information stored in the Data Warehouse.

Understanding the Reporting Data Warehouse

Use the Reporting tool to produce reports based on specified data, as well as to apply different filters, parameters, and output formats to the results. The Reporting tool generates data for you based on the transfer of data from your production database (Brightspace Learning Environment) to the data warehouse where it is stored in data sets. This transfer occurs daily or weekly, so it is not real-time. If you run reports before the associated data is generated in the data warehouse, your report will not generate relevant data. Also, if you are new to Brightspace Learning Environment, your reports may not generate any data until users have taken data driven actions within the environment.

Overview of how the production database, Reporting Data Warehouse (data warehouse), and Reporting tool interact

Data is transferred from Brightspace Learning Environment to the Reporting Data Warehouse by the Extract, Transform, and Load (ETL) process, which is run by the Recurring Tasks tool. When you run a report, the Reporting Data Warehouse is queried to provide report output. As in the example above, based on the data set you have selected (for example, Users) and any filters you have applied (for example, Last Login, Is Deleted, Is Active, Roles, and Creation Date), the Reporting tool accesses the data warehouse to generate the report using the selected report type (for example, area graph, bar graph, line graph, pie graph, or preview table).
